Proforma invoice template
A proforma invoice quotes the price before the work or delivery. Here is what to put on one and how it differs from a regular invoice.
Blank invoice template, ready to fill in.
An empty A4 invoice with every field in place. The Excel version adds up the totals for you. No sign-up, no email needed.
What goes on the invoice
- The title “Proforma invoice” so nobody mistakes it for a final bill
- Your details and the buyer’s details
- A reference number and the date
- A description of the goods or services, with quantity and price
- Estimated taxes, shipping or other costs
- Terms: how long the quote is valid, and when payment is due
The free invoice maker puts these in the right places, adds up the totals for you and downloads a clean PDF. No sign-up needed.
Three things worth getting right.
It is a quote, not a bill
A proforma invoice states what you will charge. The client does not owe anything until they accept, though some pay in advance against it.
Set a validity date
Say how long the prices hold, such as 14 or 30 days, so you are not tied to old costs.
Send a final invoice afterwards
Once the work is done or the goods are sent, issue a normal invoice with its own number.
